MONA Glossary of Terms

 

This glossary contains key terms and concepts which are useful to understanding how MONA works. It’s a good companion when setting up your account and learning how to use MONA’s features.

A

• Accession Number

Numeric, alphanumeric, or other identifying codes assigned when an art object, book, or other item enters the collection of a museum, library, or other repository. Such codes are unique within the set of codes, and specifically identify the particular item at hand. The numbers may be marked on the objects or not. See full Getty Vocabularies definition.

• Active (Licenses)

A License that has a Duration date range inclusive of the current day.

• Amount

Cost in USD to use an image according to specified Usage Rights. Total Project Amount takes the sum of each image cost.

• Archived (Licenses)

Licenses with the status of Archived have Expired and are stored for possible reference.

• Artists

• Approved (Project Status)

The status of a project that has been shared with and accepted by a reviewer is marked “approved”.

• Canceled (Projects)

Projects may be canceled by utilizing the ellipsis menu to the right of the Project in its listing. All canceled projects may be viewed at once in the Project Tab.

• Caption

Texts identifying or explaining, and printed in close proximity to, illustrations or other images. See full Getty Vocabularies definition.

• Contact

A Contact is any person who has been imported or manually entered that is involved in any way with licensing at your institution. They may be co-workers or external to your organization. Contacts must have Names and Email addresses, and optionally may have an Organization, Department, Role, Phone Number, Address, City, State, Zip, and County.

• Copyright

Exclusive, legally secured rights determining who may publish, copy, or distribute a work of art, writing, music, photograph, or other work. Works protected by copyright require the permission of the creator or other rights holder for their use. Some nations have the provision of fair use, which allows for limited use for educational purposes. See full Getty Vocabularies definition.

• Creation Date

Date on which a Project was first initiated or License was first uploaded. This can be viewed at a glance in the Project or License Details box.

• Credit Line

For art information, a brief statement indicating how the work came into the current or an earlier collection or how it came to be on view at the repository. See full Getty Vocabularies definition.

• Date

For artworks, a date or date range representing the time period of creation. Dates can also be in the form of centuries or eras, e.g. 19th century or Bronze Age. See full Getty Vocabularies definition.

• Dimensions

For artworks, the measurable or spatial extent of the object or objects. This may or may not include the frame if applicable. See full Getty Vocabularies definition.

• Distribution Location

Country, Countries, or Geographical Area(s) in which the selected image will be licensed.

• Draft (Project Status)

Draft Status for Projects denotes those which have not been Shared for Approval, meaning actions still need to be taken for completion.

• Due Date

At the time of a Project’s creation, a Due Date is optionally included. This sets the day on which the Project needs to be completed and approved. The Due Date also shows up in the Project Details box.

• Duration (Licenses)

The License duration is automatically calculated from the State Date and End Date of the Usage Rights for an Object in a Project. Any date within that range would be the Active period of the License.

E

• End Date

In the Usage Rights for an Object attached to a Project, the End Date is the proposed time when the license will expire. Likewise, when Licenses are created or uploaded, they will also include End Dates.

• Expired (Licenses)

A License which has a Duration with an End Date before the current date.

• Format

In the Usage Rights for an Object attached to a Project, Format refers to the type of reproduction that will take place: Print, Digital, or another type.

• Incoming (Licenses)

Licenses that are Incoming involve permissions for Projects that originate from another department at your institution (PR, e.g.) or from outside your institution (by another museum or third party).

Date on which a Project or License was last changed in any way. This can be viewed at a glance in the Project or License Details box.

• License

Documents evidencing a right or permission, granted to an individual or organization in accordance with law by a competent authority, to engage in some transaction, business, or occupation, or to do some act. • License Restrictions

In the Usage Rights for an Object attached to a Project, the user is able to add freeform text noting anything related to restrictions placed on the use of an image. For example, one such limitation could be no cropping is allowed.

• License Type

 

In the Usage Rights for an Object attached to a Project, the user can choose between six possible categories of Licenses: Commercial, Scholarly, Editorial, Exhibition, Product, and Personal.

• Medium

• Movement

The state or process in which events or conditions transpire, a tendency, or a trend evident at a particular time or in a particular sphere, particularly a course or series of actions and endeavors on the part of a group of people working towards a shared goal or to advance a shared political, social, or artistic objective. • Notes

In the Usage Rights for an Object attached to a Project, the user is able to add one or more freeform text notes for anything related to the Usage Rights that does not fit into the possible selections. • Notification

All Notifications appear on the Home screen, listing any changes, sharings, approvals, and denials of projects. New Notifications also will appear as a Bell Icon at the top of the screen.

• Open Access

• Start Date
