Upload and manage your collection from the application. A collection can be uploaded from a CSV file. Data that is not saved as a CSV file can't be uploaded into our system. Learn more in our format guidelines for your collection import file.
In this article, you'll learn how to use our import tool to add your collection in MONA.
Upload a collection
The process for importing your collection is broken down into a few steps and consists of two methods illustrated below.
Before you start
Here are some things to know before you begin this process:
- The headers should be in the first line of the .csv file
- The expected delimiter between columns is the comma (,)
- Mandatory (Required) headers include: Accession Number, Title, Artist
- Additional (Optional) headers include: Date, Medium, Dimensions, Credit Line, Copyright, Image, Artist Nationality, Artist Birth Date, Artist Death Date, Artist Biography ULAN or other source IDs, Artist Role, Movement, Date Begin, End Date, Display Date, Department, Caption, Collection, Type, Edition, Inscription
- The required headers cannot be empty; a value should be provided. Otherwise, the .csv file will be rejected. "Unknown" should be entered if the value is not known.
- If a value is provided for the optional headers, it will be stored. If nothing is provided, the import process will continue without issue.
- The only accepted file format is CSV with a maximum file size of 50MB.
- Images must be either in PNG or JPEG format, total size of 5GB.
There are two methods for importing your collection:
1. Import your collection with image files
2. Import your collection with image links
To import your collection with image files:
1. From the Objects page, click on the Import Collection button.
2. Choose CSV as the import method.
3. Choose Image Files.
4. Click Select Images to open the image uploader. Select the files you want to include.
5. Preview your images, then click Continue to proceed to the next step. The number of images uploaded will be displayed. To add more images, click Go Back to access the image uploader.
6. Click Select File to upload your collection CSV. Learn how to format your file here.
7. Preview your file, then click Continue to proceed to the next step. To add a new file, click the X on the attachment container or click Go Back to access the file uploader.
8. Review your CSV data. The number of rows found in the file will be displayed below the title. Additionally, an indicator will display the status of the upload. These include:
The file had no errors and will be imported successfully. | |
The file has warnings and a warning icon/count will be displayed. Each row with a warning will display the warning icon. Warnings are caused by incorrect/missing images. | |
The file has errors and an error icon/count will be displayed. Each row with an error will display the error icon. Errors are caused by incorrect data formatting. |
Click Continue to finalize collection import. To add a new file, click Go Back to access the file uploader.
9. A confirmation screen indicates that your collection has been imported. Click View Collection to navigate to the objects page.
To import your collection with image links:
1. From the Objects page, click on the Import Collection button.
2. Choose CSV as the import method.
3. Choose Image Links.
4. Click Select File to upload your collection CSV. Learn how to format your file here.
5. Preview your file, then click Continue to proceed to the next step. To add a new file, click the X on the attachment container or click Go Back to access the file uploader.
6. Review your CSV data. The number of rows found in the file will be displayed below the title. Additionally, an indicator will display the status of the upload. These include:
