Non-MONA users can create accounts to review your projects
Users don’t have to have paid accounts to manage and review image licensing requests. When Project Details are shared with people who don’t have a MONA account yet, an email is sent to that person asking them to View the Project. After a password is chosen and entered, a Restricted Account is created with limited access to:
- Approve projects
- Modify usage rights and share changes
- Decline a project
- View and search contacts
- View and search licenses
Both Incoming and Outgoing Projects can be shared with non-MONA users for review. Share your Project and they will be notified by email.
Create a restricted account
- Open the email notification asking to review a shared project.
- Select View Project.
- Enter a Password and repeat to create the Restricted Account.
- Limited Access is now available to Projects, Contacts, and Licenses.
Review incoming shared projects
Incoming Projects incorporate objects owned by the sharer’s institution. In other words, the request is internal to that institution. As a result, the sharer of the project has control over which usage rights can be changed.
To review an incoming project that was shared:
- Select Projects in the navigation bar.
- Hover over a shared project to see its details and then select it to begin the review process.
- Objects in the project will be listed with a thumbnail and basic information. To display the Usage Rights that have been selected and shared, select an object.
- Usage Rights appear to the right side. Items that are locked may not be altered. Otherwise, change any details and add a note if appropriate.
- After any changes are made to each object in the project, there are three possible actions:
- The shared project can be rejected by selecting Decline Project. An email message will be created with the opportunity to explain the reason for the rejection, and the sharer of the project will be notified.
- Any changes made can be sent back to the sharer for further review by selecting Share Changes.
- If the project details are acceptable as is, mark the usage rights as Reviewed. A check mark will appear on every object to indicate that it has been reviewed. The option to accept the shared project is accomplished by selecting Approve Project.
Review outgoing shared projects
Shared Outgoing Projects incorporate objects that are not owned by the sharer’s institution; the request is external from that institution. In this case, the project’s sharer has no ability to set an initial price or lock any usage rights. These parameters will be set by the recipient of the outgoing request.
To review an outgoing project that was shared:
- Select Projects in the navigation bar.
- Hover over a shared project to see its details and then select it to begin the review process.
- Because the Object(s) are not owned by the sharer’s institution, there may not be a thumbnail and the object details may be incomplete. A weblink to the object may be added if desired. Additionally the Price for the object image license can be entered at any time by the recipient.
- Usage Rights appear to the right side and can be filled-out and/or changed. Each parameter may be locked or left unlocked, depending on whether further review is needed.
- After any changes are made to each object in the project, there are three possible actions:
